Microsoft 365 Licensing Guide

The questions IT administrators and procurement teams ask most.

What is the difference between Business and Enterprise plans?
Business plans (Basic, Standard, Premium) support up to 300 users and are designed for small and medium businesses. Enterprise plans (E3, E5) have no user limit and include advanced features like unlimited mailbox archiving, advanced compliance, and more granular security controls. If your organization has more than 300 users, you need Enterprise.
Do I need Office 365 or Microsoft 365?
Office 365 plans include productivity tools (Exchange, SharePoint, Teams, Office apps) but do not include device management or security features. Microsoft 365 plans bundle everything in Office 365 plus Windows 11 Enterprise, Microsoft Intune for device management, and Microsoft Entra ID for identity management. If you already have device management and security solutions, Office 365 may be sufficient. If you want a unified solution, Microsoft 365 is the better choice.
What are Frontline plans and who needs them?
Frontline plans (F1 and F3) are purpose-built for shift workers, retail employees, and field staff who primarily use shared devices and need limited access to productivity tools. F1 provides read-only access to Office apps and basic Teams functionality for $2.25 per user per month. F3 adds web and mobile editing, Windows 11 Enterprise, and Intune for $8.00 per user per month. Frontline plans are significantly cheaper because they are designed for users who do not need full desktop applications.
Can I mix different plan types in one organization?
Yes. Microsoft allows mixing plans within a single tenant. For example, you might license your office staff with Microsoft 365 E3, your executives with E5 for advanced security, and your frontline workers with F3. Each user needs exactly one base plan, but you can have different plans for different user groups.
What is the difference between CSP and direct Microsoft pricing?
The prices shown in this calculator reflect Microsoft's published list pricing for annual commitments. As a Microsoft Cloud Solution Provider (CSP), Central Lense can offer competitive pricing, flexible billing, and dedicated support. Volume discounts are available for organizations licensing 50 or more users, and pricing improves further at higher tiers. CSP pricing is discussed during consultation because it varies based on commitment terms, user count, and bundling opportunities.
How does annual vs. monthly billing work?
Microsoft 365 subscriptions can be billed monthly or annually. Annual commitment plans are typically less expensive per user per month than month-to-month plans. The prices shown in this calculator reflect annual commitment pricing. Contact us to discuss billing options that match your organization's needs.
